ioan adrian mursa, trading as RecepAI, is the data controller for the personal data described in this notice. This means we decide how and why your personal data is processed when you use the RecepAI platform.

1. Data we collect and why

• Account data (name, email, login credentials): to create and secure your account — legal basis: performance of our contract with you.
• Business Brain content (business details, services, hours, FAQs, documents, uploaded logos): to operate your AI receptionist — contract performance.
• Conversation data (messages exchanged with your receptionist, and contact details customers choose to share): to deliver the service, show you conversations and leads — contract performance and our legitimate interest in service quality.
• Support messages: to answer your requests — legitimate interests.
• Usage and telemetry, device identifiers, IP address: security, fraud prevention, debugging and product improvement — legitimate interests.
• Marketing preferences: to send product updates where you have opted in — consent, withdrawable at any time.
• Legal and accounting records: to comply with legal obligations.

2. Who we share data with

• Service providers / subprocessors: hosting and database infrastructure, AI model providers used to generate receptionist replies, communication providers used for phone and messaging channels, and support tooling.
• Paddle, our Merchant of Record, for the sale of subscriptions, subscription management, payments, tax compliance and invoicing.
• Professional advisers (legal, accounting) where necessary.
• Authorities where required by law.

We do not sell your personal data.

3. International transfers

Some providers may process data outside the UK/EEA. Where this happens we rely on adequacy decisions or Standard Contractual Clauses together with appropriate additional safeguards.

4. Retention

We keep account and Business Brain data for as long as your account is active, and conversation data for as long as needed to provide the service to you. After account closure we delete or anonymise personal data within a reasonable period, except where we must keep records (for example billing records) to meet legal obligations.

5. Your rights

Depending on your location, you have the right to access, rectify, erase, restrict or port your data, to object to processing based on legitimate interests, and to withdraw consent. 6. Security

We apply appropriate technical and organisational measures, including encryption in transit, row-level access controls so each business can only reach its own data, private storage for uploaded documents, and least-privilege access to production systems.

7. Cookies

We use essential cookies and local storage to keep you signed in and remember your language preference. Where we use analytics or marketing cookies, they are only set with your consent and you can change your choice at any time in your browser settings.
